Sprayfolio covers the whole job: a fast record on site, the product and code lookups that make it complete, and the exports and client copies that prove it. Here is what is inside.
Recording
Complete records in under a minute
One form handles all three treatment types in the regulation: surface area, closed space (stores and greenhouses) and seed treatments. The fields change to match, so you only see what that type needs.

Sites and clients
Every client, site and area organised
Set up each client property once with its areas, sizes, default crop or situation and location. Records, share links and exports all hang off the site, so finding what was sprayed where takes seconds. Bring existing sites in from a spreadsheet.
Built-in reference data
The codes and numbers filled in for you
A complete record needs the right authorisation number, an EPPO code for the crop or situation and, where it matters, a BBCH growth stage. Sprayfolio looks them up so you never type them.
Product registers
Search the HSE register for Great Britain and Northern Ireland (MAPP numbers) and the DAFM register for Ireland (PCS numbers) by product name, number or active substance. The register snapshot date is shown on every product.
EPPO codes and amenity situations
Pick the crop or situation from EPPO codes with everyday names, including amenity situations such as hard surfaces and amenity grassland. Where no code applies, record a free-text situation and it is marked as such.
BBCH growth stages
Choose a growth stage from the BBCH scale, grouped by principal stage with descriptions. It defaults to not relevant for amenity situations so it never slows you down.
Custom products
Using something the register does not list, such as a parallel import? Add it as a custom product. It is flagged as unverified in every export so the record stays honest.
Works offline
The register and code lists are stored on your phone, so product search works in a field with no signal. Records sync when you are back online and a clear indicator shows what is still to send.
Stays up to date
Register updates download in the background as small changes, and a product that has been withdrawn or has expired is flagged when you record it.

Client sharing
A secure link for every client
Contractors must give clients access to their records. Share one site or every site for a client with a read-only link, add a passcode and expiry date, and check the access log. Clients see what was applied, when and by whom, and download a PDF summary and a machine-readable file without an account.
Exports
CSV, Excel, JSON and PDF
Export any date range with filters in the standard 2023/564 layout or the GB layout. Every export includes the register snapshot dates and a SHA-256 checksum file. Generate a one-click annual pack for audits, or have a monthly export emailed to you automatically.
Authority requests
Inspector requests, handled on time
Log a request from DAFM, DAERA, HSE or another authority and Sprayfolio works out the 10-working-day deadline using the right bank holidays. Generate the export for the period asked for, mark it as sent and keep a record of what went to whom and when.

Sprayers, tests and calibration
Record every boom sprayer, knapsack, CDA lance or stump applicator with its nozzle set and test dates. Overdue and upcoming tests are flagged, and the calibration log shows the latest output when you record a spray.
Dashboard and reminders
Know what needs attention
The dashboard shows records this month, drafts to finish, expiring certificates, overdue equipment tests and open inspector requests. A daily email digest reminds you about anything outstanding, so nothing slips.
Roles and invitations
Owners, admins, operators and viewers each see and do the right things. Invite people by email and record who actually applied the product, even if someone else typed it in.
Certificates
Keep PA1, PA2, PA6 and DAFM professional user registrations on each operator profile, with a warning 60 days before anything expires.
Paper backlog import
Digitise a season of paper spray sheets from a CSV or Excel file. Match your columns on screen, fix any rows that need it, and the records are marked as transferred from paper.
Security and data
Your legal records, looked after
Versioned and audited
Every change is versioned with who made it and when. After 30 days a record is locked and edits need a reason, so your history stands up to inspection.
Hosted in the UK
Your data is held in Microsoft Azure UK South, with each organisation kept strictly separate from every other.
Never lose access
Records are kept for at least three years and indefinitely by default. If a subscription lapses the account becomes read-only, and you can still view and export everything.
